Privacy Policy
Effective September 20, 2026
FaxyFox respects the privacy of people who use our service. This Privacy Policy explains what information we collect, why we collect it, how we use it, when it may be shared, and the choices available to you.
This Privacy Policy applies to FaxyFox.com and the fax sending, fax receiving, account, credit, telephone-number, and related services provided by FaxyFox.
1. Information We Collect
When you use FaxyFox, we may collect information that you provide directly, including your name, email address, account information, fax numbers, recipient information, cover-page information, uploaded documents, received documents, support communications, and other information you choose to provide.
We may also collect information generated through use of the service, including fax transmission dates and times, originating and destination telephone numbers, page counts, transmission status, assigned fax numbers, credit activity, receiving-page usage, IP address, device and browser information, security events, and technical logs.
2. Fax Documents
To provide fax services, FaxyFox must process documents that you send and receive.
Documents may be uploaded to or stored on our infrastructure while they are being prepared, transmitted, received, made available through your account, or retained according to our document-retention practices.
We do not sell the contents of your fax documents or use the contents of fax documents for advertising.
Access to stored documents is limited to systems and personnel with a legitimate operational, security, support, or legal need.
3. How We Use Information
We use personal information to operate FaxyFox, authenticate accounts, send and receive faxes, provision and maintain fax numbers, calculate page usage and credits, process transactions, provide fax status and account notifications, prevent fraud and abuse, secure and troubleshoot the service, respond to customer-support requests, comply with legal obligations, and improve the operation and reliability of FaxyFox.
We may also use account information to communicate important changes affecting your account or the service.
Marketing messages, where offered, are handled separately from necessary service communications and are subject to applicable consent requirements.
4. Service Emails
We may send transactional or operational emails related to your use of FaxyFox.
These may include fax delivery or failure notices, incoming-fax notifications, receiving-paused notices, credit or account notifications, receiving-number renewal or expiration notices, security messages, purchase confirmations, and other communications necessary to operate or provide the service.
These messages are service-related communications rather than promotional marketing messages.
5. Payment Information
Purchases may be processed by Shopify, Shop Pay, and other supported payment providers.
Payment providers process payment information according to their own privacy policies and security practices.
FaxyFox generally receives transaction information needed to fulfill your purchase, such as order identifiers, purchased items, payment status, and customer information, rather than your complete payment-card number.
6. Service Providers
We may share information with service providers where reasonably necessary to operate FaxyFox.
These providers may include Shopify for customer accounts, checkout, and commerce functionality; Telnyx or other telecommunications providers for telephone numbers and fax transmission; Amazon Web Services for computing, storage, databases, and email infrastructure; and other providers used for security, monitoring, customer support, or website operation.
These providers process information according to their respective agreements and privacy practices.
We do not sell your fax documents or personal information to advertisers.
7. Telecommunications Information
Faxing necessarily involves transmission of information across telecommunications networks.
When you send or receive a fax, information such as telephone numbers, timestamps, transmission status, page counts, routing information, and other telecommunications metadata may be processed by FaxyFox and our telecommunications providers.
The recipient's or sender's telephone provider and fax equipment may also process information independently of FaxyFox.
8. Document Retention and Deletion
FaxyFox retains fax documents only for a limited period as reasonably necessary to provide fax functionality, account access, troubleshooting, security, and related services.
Fax documents may be automatically deleted after the applicable retention period.
FaxyFox is not intended to serve as permanent document storage. You should download and retain copies of documents you are required or wish to keep.
Metadata such as telephone numbers, transmission dates, page counts, status information, billing records, and credit transactions may be retained for longer periods for account history, fraud prevention, accounting, security, dispute resolution, customer support, and legal compliance.
9. Receiving Numbers
When you obtain a FaxyFox fax number, we maintain information necessary to associate that number with your account and route incoming fax transmissions.
When your right to use a number expires, the number may eventually be released to our telecommunications provider and may later be reassigned.
We may retain historical records showing that a number was formerly associated with your account for accounting, fraud prevention, security, support, dispute resolution, or legal purposes.
10. Cookies and Similar Technologies
FaxyFox may use cookies and similar technologies necessary for authentication, security, account functionality, checkout, preferences, and operation of the website.
We may also use analytics technologies to understand how the service is used and improve its operation.
Where applicable law requires additional notice or consent for particular cookies or technologies, we will provide appropriate choices.
11. Security
We use reasonable administrative, technical, and organizational safeguards intended to protect information handled through FaxyFox.
These protections may include encrypted network connections, cloud-storage encryption, access controls, restricted infrastructure permissions, authentication measures, security monitoring, and other safeguards appropriate to the service.
No internet, cloud, or telecommunications system can be guaranteed to be completely secure, and we cannot guarantee that unauthorized access or disclosure will never occur.
12. Your Responsibilities
You should protect access to your email account and FaxyFox account.
You are responsible for ensuring that you have the legal right to transmit documents and personal information submitted through FaxyFox.
Fax recipients and senders operate independently of FaxyFox. Once a fax reaches the destination you selected, the recipient's handling of that fax is outside our control.
13. Sensitive and Regulated Information
Fax transmissions may contain medical, financial, legal, tax, identification, or other sensitive information.
FaxyFox does not use fax-document contents for advertising.
However, use of FaxyFox does not by itself establish compliance with HIPAA, GLBA, FERPA, or another industry-specific privacy or security law.
If your organization is subject to a specialized regulatory framework, you are responsible for determining whether FaxyFox and any required contractual arrangements are appropriate for your use.
14. Disclosure Required by Law
We may preserve or disclose information when reasonably necessary to comply with applicable law, valid legal process, court orders, subpoenas, governmental requests, or other legal obligations.
We may also preserve or disclose information when reasonably necessary to investigate fraud or abuse, enforce our Terms of Service, protect the security or integrity of FaxyFox, or protect the rights and safety of FaxyFox, our users, or others.
15. Business Transfers
If FaxyFox or substantially all of the assets associated with the service are acquired, merged, reorganized, sold, or transferred, information associated with the service may be transferred as part of that transaction, subject to applicable law.
16. Children's Privacy
FaxyFox is not intended for children under 13.
We do not knowingly collect personal information from children under 13. If we learn that such information has been provided to us, we will take reasonable steps to delete it.
17. Your Privacy Rights
Depending on where you live, you may have legal rights regarding personal information we maintain about you.
These rights may include requesting access to, correction of, or deletion of certain personal information, or requesting information about how your personal information is used or disclosed.
Such rights may be subject to exceptions, including information that we are legally required or reasonably permitted to retain.
Privacy requests may be sent to hello@faxyfox.com.
We may need to verify your identity before fulfilling certain requests.
18. Data Retention
Different categories of information may be retained for different periods depending on why the information is needed.
We may retain account, transaction, billing, credit, fax-history, fraud-prevention, security, and other records after use of the service ends when reasonably necessary for tax, accounting, dispute resolution, security, fraud prevention, legal compliance, or other legitimate business purposes.
Fax-document content generally may have a shorter retention period than account, transaction, or telecommunications metadata.
19. Changes to This Privacy Policy
We may update this Privacy Policy as FaxyFox, our technology, or applicable laws change.
When we make material changes, we will update the effective date above and provide additional notice where required by law.
